Terms and Conditions for Events

Anna Freud is a registered charity and all fees from our training courses, conferences, and events (Event) help to fund our work supporting children and families to build on their strengths and to achieve their goals in life.

1. Payment

1.1. Payment must be made in full no later than 21 days after an Event booking is made, or immediately on booking if less than 21 days before the Event date.

1.2. If full payment is not received before the Event date, admittance may be refused.

1.3. We reserve the right to reallocate an Event place if fees are not received on time.

2. Transfer Arrangements

Same Event on a different date

2.1. Where there is available space on the same Event on an alternative date, and you have paid in full for your booking, it may be possible to transfer your booking to the new date. This is only permitted once, per delegate.

2.2. If you request a transfer more than 14 calendar days before the date of your original Event an administration fee of 10% of the cost of the Event will be charged for the transfer.

2.3. If you give less than 14 calendar days notice, the administration fee will be 50% of the cost of the Event.

2.4. The administration fee for any transfer must be paid at the time the transfer is confirmed by the Training, Conferences, and Events team. Transfer arrangements will not be held open pending payment.

2.5. Any further transfer requests after the first confirmed and paid for request may be managed as a cancellation and may incur a cancellation charge.

Same Event different delegate

2.6. It may be possible to nominate a colleague to attend a booked Event instead of the original delegate. This will be at the discretion of the Training, Conferences, and Events team and verification of the eligibility of the substitute may be required before confirmation of the transfer.

2.7. The first delegate substitution is free, for any further substitution an administration fee of 10% of the cost of the Event will be charged and must be paid at the time the substitution is confirmed.

3. Cancellation

3.1. If you cancel a confirmed booking the following charges will apply:

3.1.1. Cancellation more than 21 calendar days before the Event date, a charge of 10% of the full cost. You will be refunded 90% of the Event cost

3.1.2. Cancellation 21 days or fewer before the Event date, the full cost of the booking will be charged. You will not receive a refund.

3.2. All cancellations must be received in writing or via email to training@annafreud.org and must contain the full booking details including:

  • Organisation name

  • Booking and delegate contact details and

  • Invoice/receipt number

3.3. You will receive confirmation of the cancellation and the booking will not be considered cancelled, nor will any refund due be payable, unless you have that confirmation.

3.4. A failure to attend an Event without notice will be considered a cancellation and you will forfeit any refund by failing to give adequate notice.

4. Training Eligibility

If you enrol for an Event where you do not meet the requirements set out on the Event page, you will not be eligible for a refund, so please review the eligibility criteria before booking an Event. Should you have any queries around your eligibility for an Event, please email us (training@annafreud.org) and we will be able to help identify whether you meet the requirements.

5. Content of our Events

We may use case studies or other real-life examples, including personal data as a part of our Event delivery. The details should not be discussed outside of the Event.

6. Events delivered remotely

6.1 By accepting these terms and conditions you agree that you will not:

  • Copy, modify, reproduce, re-publish, sub-license, sell, upload, broadcast, post, transmit or distribute any of the training presentation or Event materials (including presentations, videos, handouts and case studies) without the prior written permission of Anna Freud;

  • Record video or audio footage from the Event, relay by phone, videoconference or other means the Event delivered by Anna Freud;

  • Save the Event videos to your personal or work device

  • Share the Event materials with anyone or use the Event materials in the provision of any other course or training whether delivered by you or a third party;

  • Remove from the Event materials any copyright or other notice of Anna Freud 

7. Updating your details

It is your responsibility to let us know if your contact details change, so please email us (training@annafreud.org) to update us with any changes so that we can contact you about your Event booking.

8. Booking on behalf of others and group booking

When making a group booking or a booking on behalf of others, you verify that all individuals included in the booking have seen and accept these terms and conditions as well as the course-specific terms and conditions included in the booking process, if applicable.

9. Amendments to Events

Anna Freud reserves the right to change the Event content, timing, speakers, venue or mode of delivery (incl. changing an in-class Event into an on-line Event) without notice. Anna Freud is not responsible for attendees failure to act on our notification of any changes to an Event, including short notice postponement or cancellation or notification of a new venue.

Anna Freud is dedicated to offering an extensive range of training, conference, and events to cater to our diverse audiences. We recognise our responsibility to create a safe and inclusive environment for all participants in these events. Our Code of Conduct serves as a manifestation of Anna Freud's unwavering commitment to upholding, promoting, and defending human rights, equity, and diversity. To ensure that we honour this commitment and foster a respectful and inclusive environment at all Anna Freud events, we have established the following code of conduct. This code outlines the expected standards of behaviour for all individuals participating in Anna Freud events, including delegates, speakers, trainers, staff, volunteers, sponsors, exhibitors, and contractors. Specific additional expectations are detailed within the Code for our speakers. 

Code of conduct  

  1. All communication should be respectful and suitable for a professional audience, considering the diverse backgrounds of our participants. 

  2. During discussions, please ensure that your contributions are relevant to the topic at hand. Foster open and inclusive discussions, being mindful of the diverse range of experiences and perspectives within our community. 

  3. Be kind, compassionate, and considerate of the wellbeing of everyone in the session.

  4. Please adhere to the rules and regulations of the venue or the online platform that is hosting the event. 

  5. Harassment, bullying, or intimidation in any form will not be tolerated. This includes, but is not limited to, deliberate intimidation, stalking, unauthorised photography, or recording, disrupting talks or events, inappropriate physical contact, and unwelcome sexual attention. 

  6. The use of sexual language and imagery is inappropriate in all aspects of our events, including talks, meetings, exhibition stands, conference social events, and online platforms. 

  7. Discriminatory behaviour, content, or comments based on factors such as ethnicity, gender, gender identity and expression, sexual orientation, disability, age, religion, social class, political beliefs, or physical appearance are strictly prohibited. 

  8. Always respect the property of others. 

  9. Soliciting or promoting products or services to delegates is only allowed for those with an official stand or sponsorship at the event. Unauthorised distribution of flyers or placement of promotional materials at Anna Freud events, both online or in-person, is not allowed unless you have obtained prior approval from the event organisers.  Expectations for speakers  

  1. Always conduct yourself in a manner that promotes and safeguards the interests and wellbeing of service users. 

  2. Embrace and celebrate the diversity within our sector and society by actively incorporating case studies or examples (including text, images, film clips, etc.) that reflect this rich diversity. 

  3. When presenting ideas and opinions, especially those that may be contentious or potentially offensive, approach them with the spirit of academic debate, remaining open to challenges and questions. 

  4. Refrain from using language, content, or actions that perpetuate stereotypes, whether negative or positive. 

  5. Avoid the use of jargon, as it can be exclusionary and can hinder effective communication. 

  6. Plagiarism is strictly prohibited and will not be tolerated. 

  7. Speakers addressing sensitive issues must ensure that they uphold and respect the rights, dignity, and values of all individuals (please refer to the section on "sensitive content" for further guidance). 

Sensitive content 

Anna Freud is deeply committed to the principles of intellectual freedom and encourages open dialogue and diverse perspectives. We wholeheartedly support the free exchange of ideas. However, we also expect our speakers to approach sensitive or controversial viewpoints with careful consideration. It is essential to present such perspectives critically with an understanding of the potential impact on the audience's feelings. We encourage speakers to reflect on whether any of their content may raise sensitive issues, even if it may not be immediately evident. We encourage you to put yourself in the shoes of the listener to better gauge the potential impact of your words. When broaching any sensitive topics, we ask that speakers consider introducing these with fair regard for the safety and comfort of all participants – this might include a content warning, for example.  

Working with Champions  

Our team of Champions work with us to ensure that their experiences of mental health help shape the work we do. Champions actively engage in various activities within our organisation, which includes participating in public speaking engagements, trainings, and events. They generously share their experiences and help raise awareness of our initiatives. During events, speakers may have the opportunity to collaborate with our Young Champions or Parent/Carer Champions. It is crucial that all speakers adhere to these principles when working with our Champions: 

  1. Respect for Champions: Champions dedicate their valuable time and expertise to enhance our work and support for young people. We must consistently value each individual and refrain from engaging in any form of negative discrimination. 

  2. Respect for autonomy: Champions have the right to make their own decisions and choices unless there are significant threats to their welfare or the welfare of others. This autonomy extends to all, regardless of their potential vulnerabilities or mental health conditions. 

  3. Ensuring safety and wellbeing: We are committed to the well-being and safety of our Champions. 

  4. Promoting social justice: We actively contribute to the promotion of social justice for our Champions and society as a whole. This involves fostering respect for diversity, embracing differences, and challenging discrimination. 

These principles guide our interactions and collaborations with our Champions, ensuring a respectful and inclusive environment that supports their vital contributions to our mission.  

It is crucial for all participants, including speakers, to have a comprehensive understanding of the legal framework and context that governs this field. Below, we provide some examples of relevant areas of law. This is not an exhaustive list, and other areas of law, governance and good practice may also be relevant. 

Private Rights – people are entitled to protection from harassment, defamation, and unlawful breach of their human rights, as well as from unfair treatment under equality law. Health and safety law, Data Protection and Contract law may also be relevant in this context.  

Criminal Law – hate crimes, harassment, breach of the peace and terrorism all come under criminal law. There is also legislation around public meetings, public processions/assemblies and public order which may be of relevance.  

Public law – Freedom of Speech and some duties under the Equality Act are captured under public law. 

Freedom of speech  

Freedom of expression and speech are fundamental human rights, protected by the law. It is important to note that these freedoms, while essential, are not without limits; they exist within the boundaries of the law. "Academic freedom" is a term used to describe the legal framework that enables open and honest debate within an academic context. However, we hold a duty to prioritise the safety and wellbeing of our staff and communities. The freedom to express views must be balanced with the imperative of safeguarding our audiences from harm. 

Our goal is to ensure that all our events, activities, and initiatives provide a safe environment, free from risks to the organisation and in compliance with the law. If an external speaker or their chosen topic has the potential to contravene our conditions for a safe event, we are committed to collaborating to reach a judgment that is both reasonable and well-informed, while always staying within the bounds of the law. 

Reporting and enforcement at an Event 

Anna Freud is committed to thoroughly investigating all reported incidents with utmost discretion and maintaining strict confidentiality. If anyone experiences or witnesses any form of unacceptable behaviour, we strongly encourage them to report it promptly to a member of Anna Freud staff for in-person events, or email training@annafreud.org if attending an online event. 

Additionally, if anyone believes that a speaker has not adequately upheld Anna Freud's commitment to equity, diversity, and inclusion, we kindly request that they initially contact our Training, Conferences, and Events team by emailing training@annafreud.org. Your concerns will be taken seriously, and appropriate actions will be taken, as necessary. 

Participants are required to promptly cease any behaviour that violates this Code of Conduct upon being asked to do so. The Chair and/or event organisers reserve the right to take necessary corrective measures in response to any behaviour they deem inappropriate, threatening, offensive, or harmful. These measures are taken to maintain the event as a secure and inclusive environment for all participants. Appropriate actions may include issuing a warning, requesting an apology, removing a participant from the event either temporarily or entirely, or prohibiting participation in future Anna Freud events.
