Privacy Notice for Fundraising
- Who we are
The Anna Freud Centre (‘we’, ‘our’, ‘us’), operating as the Anna Freud National Centre for Children and Families, is a registered mental health charity. We rely on the generosity and support of individuals, grant-making bodies and partners to carry out our vital work with young people and collect and use personal data to manage our relationships with those supporters.
The Anna Freud Centre is committed to protecting the personal details that we process when you engage with us and is a Data Controller for data processing carried out by the Fundraising team. The Anna Freud Centre is also registered with the Fundraising Regulator and adheres to their Fundraising Promise, which you can view here (https://www.fundraisingregulator.org.uk/more-from-us/resources/fundraising-promise).
This Privacy Notice informs you how we may use the personal data we collect about our donors and supporters (‘you’). Please read this Privacy Notice carefully, along with our Website Terms and Conditions and any other documents referred to, to understand how we collect, use, and store your personal information.
We aim to be clear, transparent and to use your information in a way that you would reasonably expect us to. We may update this Privacy Notice from time-to-time so please check it regularly.

- Purpose of the processing and the lawful basis for the processing
We are collecting and processing your personal data for three main purposes:
- Administration: to enable us to administer grants and donations made to the Anna Freud Centre. The information you provide is used to ensure your gifts are accurately recorded and allocated. Types of information we collect for administration:
- Your title and name
- Your contact details (address, email, phone number)
- Gift aid status and donation value
- Contact preferences (via opt in)
- Communication: to share updates about our work through regular newsletters, reports updates via email, and to respond to enquiries to the fundraising team. We also carry out some research, gathering information from publicly available sources, to help us understand our donors and so that our communications are tailored to your interests, needs and expectations. Types of information we may collect for communication, in addition to those above:
- Family, spouse and partner details
- Relationships to other Anna Freud Centre stakeholders and supporters
- Your professional activities and employment details
- Current interests and charitable activities
- Prospecting: to tailor what type and level of support we ask you for, we may collect and analyse personal information about you. This helps us to fundraise more effectively and ethically, in line with our Fundraising Policy, to do no harm to actual or potential donors. Processing this data provides us with insight into your interest in, and ability to support, the work of the Anna Freud Centre. Types of information we may collect for prospecting, in addition to those above:
- How you have engaged with us previously
- Date of birth and demographic information
- Measures of affluence (information about your wealth)
- Philanthropic interests and networks
- Media articles and social media posts about you
We do not use third party wealth screening companies or insight companies to provide us with information about you.
The lawful bases, as set out in the UK GDPR, for processing your data are:
- Art 6 1(a) Consent; we process with your clear consent for specific purpose(s), where you supply your contact information and opt in to receiving newsletters.
- Art 6 1 (c) Legal obligation:the processing is necessary for us to comply with the law. Under the Charities Act 2011, we are required to keep financial information regarding donations for six years. If you have agreed to Gift Aid your donation, we are also legally required to share your name, address and donation details with HMRC.
- Art 6 1 (f) Legitimate interests:the processing is necessary for our legitimate interests to enable us to raise funds to support the delivery of the Anna Freud Centre’s charitable objectives. The Trustees of the Anna Freud Centre are also legally accountable for the appropriate due diligence procedures to be carried out on grant and donations, to protect you, our staff, our service users and the reputation of the Anna Freud Centre. When we process your personal information based on the lawful basis of legitimate interests, we make sure to balance any potential impact on you and your rights.
- How we get information
We use information collected directly from you via the support us pages, including the ‘make a donation’ and ‘request resources’ forms at annafreud.org, as well as enquiries received to email@example.com.
We use third parties to collect and process payments and other data submissions to the website on our behalf. We have contracts with the organisations to ensure that your data is managed appropriately and held securely.
- We use Barclays secure payment pages for credit and debit card payments for the purchase of goods and services. Barclays asks for your name, address, phone, email address, and credit or debit card information. Your card details will only be retained by Barclays. - Rapidata (http://rapidataservices.com/terms-conditions/) processes your donations and direct debit information on our behalf.

Companies with fundraising functions such as Amazon, Facebook, Instagram
Administration of donations
We will only receive information from third parties in this way if you have given your consent for your information to be passed on to us. You should check their Privacy Notice when you provide your information to understand how they will process your information. When we received your information, the Anna Freud Centre becomes data controller and this privacy notice applies.
We may also obtain information about you from publicly availably sources such as Companies House, Charity Commission, media articles and social media posts.
- Who we share your data with
We share donation and Gift Aid data (name, address, donation amount) with HMRC.
We do not share our mailing lists with third parties.
Generally, we will ask your permission before we share your data, but in some circumstances, we are legally obliged to share information, for example under a court order. Where we do share, we satisfy ourselves that we have a lawful basis on which to share the information and document our decision making.
- How long we retain your data
We will hold your personal information on our systems for as long as is necessary for the relevant activity.
Data retention purpose and period
If you have donated to the Anna Freud Centre either as a one-off or regular giver, your name and donation history will be held on record indefinitely for reporting and administration purposes.
All other data submitted to us will be held on file until six years after your last donation, after which it will be securely disposed of.
Your name and contact details will be kept on file until the enquiry is closed.
Committed givers and newsletter recipients
Your personal data will be kept on file until you unsubscribe from our mailing list or you cancel your regular donation. Should you withdraw consent to be contacted, only your name, donation history, and address (if Gift Aid is claimed) will be kept on file as set out above for donor data; any other information you have shared with us such as your email address or telephone number will be deleted.
Research information on potential donors and supporters will be kept alongside donor records, if you make a grant or donation to the Centre and will be updated annually in line with our due diligence procedure. If no approach or application is made, prospect research that includes personal data will be kept for three years, or less if you request it. If no approach or application is made within that time, only your name will remain on file and the date of the last consideration. After six years with no engagement, your data will be deleted.
- Your data rights
Under data protection law, you have rights we want to make you aware of. The rights available to you depend on our reason for processing your information and may only apply in certain circumstances. You can check the Information Commissioners website for more detail or contact the DPO.
- Your right to be informed – this notice informs you what data we collect and how we use it.
- Your right of access – you have the right to ask us for a copy of your personal information.
- Your right to rectification - you have the right to ask us to correct information which you think is inaccurate or incomplete.
- Your right to erasure – this is known as the ‘right to be forgotten’ and you have the right to ask us to erase your personal information in certain circumstances, such as where it is no longer required.
- Your right to restriction of processing - you have the right to ask us to limit the processing of your information in certain circumstances.
- Your right to object to processing - you have the right to request we stop processing some or all or your data.
- Your right to data portability - this only applies to information you have given us and where we rely upon your consent to process the data.
- Rights around automated decision making and profiling – we don’t use these processes in processing data for fundraising purposes.
You are not required to pay a charge for exercising your rights. We generally have one month within which to respond to your request.
The laws governing how your personal data can be used are:

- Data Protection Act 2018 (DPA)
- The Privacy and Electronic Communications Regulations 2003 (PECR)

The Anna Freud Centre is registered with the Fundraising Preference Service, an official service of the Fundraising Regulator that lets you stop charities contacting you (https://www.fundraisingpreference.org.uk/).
You can also, at any time, make a complaint about our processing of your data to the Information Commissioner: https://ico.org.uk/global/contact-us.
- Obligation to provide data and automated decision making
There is no legal or statutory obligation for you to provide the data, however we only ask for the minimum information we need to provide an appropriate service to you. If we don’t have the full detail required, we may not be able to do this.
We do not use personal data for automated profiling or automated decision making.
